Position Summary: The Latam South office in Santiago-Chile is the hub for many cross functional teams that service the whole region (some even service more countries in Latam). It is the primary work location for 20 people and provides support for other 30 that work elsewhere in Chile. Being a company site located away from Headquarters, all technical support is obtained remotely meaning that along with the standard Administrative Assistant's duties, an Office Manager will have to ensure that all aspects regarding the office management must be working correctly and in compliance.
Provide administrative support to assigned team. Responsible for a variety of office duties while representing and maintaining the highest level of professionalism in a manner that reflects positively on the organization.
Essential Job Functions: Screen incoming telephone calls; take and deliver accurate messages; respond to requests by gathering and providing information and/or referring to the appropriate staff.Prepare Word, Excel, PowerPoint presentations, agendas, reports special projects and other documents in support of departmental operations and objectives.Assist with general administrative activities such as arranging travel, accommodations, logistics and catering for internal meetings on a cost-efficient basis, managing all travel bookings, etc.Arrange couriers both locally and internationally, assisting with IT issues before escalating to headquarters.Monitor office supplies and order new stationery, furniture, appliances and electronics as required, order and maintain office supplies and oversee clerical tasks such as sorting, making copies, filing.Generate expense accruals from Concur and distribute to finance team. Update and submit employee database to HR highlighting any changes.Manage warehouse storage of premiums and merchandise and manage logistics of event collateral.Prefer a Bachelor's Degree in the field of -- Business Administration or related field of study.Between 3-5 years of experience in administrative work.#J-18808-Ljbffr
