Robert Half is seeking a HR Compliance Specialist to join the Shared Service HR group. The group handles background checks, records management and general HR related policy and procedure updates.Specific responsibilities include:- Background Checks:- Analyze returned case results for discrepancies or issues.- Adjudicate case results on all background checks and provide results to the requesting branch.- Research any unverifiable information as needed and upload the data into the case file in Livelink.- Work closely with Legal on derogatory results including but not limited to results returned from specific states such as CA, HI, LA, NY, PA, or WI as well as cases returned with misdemeanor results.- Medical records management for all field facing clients through Contracts Attorney's group.- Vendor management: Document and address any issues regarding our HR vendor databases. Escalate situation to Sr HR Specialist and department manager as needed.- Subpoenas:- Research and gather all data applicable to the subpoena. Work closely with Legal to determine any issues or challenges with subpoenas.- Obtain appropriate signatures and return subpoena and subsequent information to requesting party.- Respond to all requests on internal employee court orders and government agencies.- Respond to HRBP requests for file information or assist HRBP's with AccuImage.- Records Management:- Update new hire records database daily with new hire report.- Respond to HRBP and Legal requests for file information or assist HRBP's with AccuImage.- Maintain AccuImage records, including adding, deleting and merging scanned records as necessary.- Maintain Iron Mountain storage records with 100% accuracy to accommodate requests for return of stored hardcopy records.- Respond and prepare any personnel file requests from outside investigators and internal staff.- Compensation Plan & Job Order Credit Guideline Acknowledgements: collect, log and prepare reports; follow-up on missing items. Assist department manager with recordkeeping audits.- VOE-VOI/TALX/ I-9 issues:- First point of contact for VOE/VOI vendor issue resolution.- Create VOE letters upon request for special circumstances or "C" level executives upon request.- Handle all Tentative Non Confirmations during the E-Verify process.- Audit new hire I-9 compliance to ensure forms are completed within the required timeframe.- Anniversary Awards Program: Coordinate distribution of employee anniversary gifts and ensure delivery of award before anniversary date. Resolve any vendor issues applicable to the process.- OFAC: Run the OFAC Process - run weekly reports; clear any potential hits; monitor quarterly reports and clear any potential hits.- PDEQ (Post Departure Exit Questionnaires): Distribute exit surveys as requested by HRBP and department manager utilizing current survey tools. Prepare quarterly and annual reports.Qualifications:- High School diploma required, college degree preferred but not required.- 4+ years' of experience in confidential HR related work. HR background helpful.- General knowledge of MS Office.- Good customer service skills.- Attention to detail essential, and ability to work independently.- Must be flexible to work within fast-pace environment with tight deadlines.- Must be able to work with highly confidential data and maintain confidentiality at all times.The typical salary range for this position is $48,000 to $71,000.
