About the roleIn the Project Vicepresidency, we are searching for a proficient Team Administrator or Executive Assistant to provide dedicated support to the Project Leadership Team and broader team based in Santiago. The key responsibilities for this role include:
Build collaborative relationships within the team, with peers and other internal and external stakeholders.Establish and maintain confidential records, correspondence, contact lists, and related material.Arrange events, meetings, workshops and training sessions including room bookings, material custodian and preparation, catering and logistics, and liaise with local IT members for technical support.Support the team with budget management & cost reporting.Manage sensitive matters related to the Project VP team with a high level of confidentiality and discretion.Manage daily calendar of meetings and events for the team, addressing and optimizing scheduling challenges and opportunities.Use appropriate software (e.g.: Outlook, Word, Excel, PowerPoint) and company systems to prepare presentations, reports, or other requests for information to support the area.Arrange national and international travel and accommodations including ground transportation and reservations for meetings with stakeholders.Develop and maintain effective communication networks internally and externally.Use effective time management skills to support leadership team's deadlines and function well in a very dynamic environment.Support the team with reception of visitors, arrangement of meetings in Santiago and abroad as required.Manage internal systems, vendors, consultants, purchase orders, and creation of project accounts.Control team budget and track general costs.Host visiting international employees and stakeholders.Support leadership with general team management activities including tracking teams trips, training, compliance requirements, stakeholders mapping/contact lists, meeting minutes, archives, expenses, and documentation in general.Draft and prepare internal announcements, leadership meetings, and other events/activities where the team is involved.About YouRequirements for success:
Strong technical proficiency with Microsoft Office Suite.SAP experience desirable (POs/PRs).Effective communication on a variety of levels.Strong organizational skills, management, and an ability to prioritize workload and work independently.Advanced English level.Completed technical or higher education.Strong commitment to perform at the highest level possible on a consistent basis.Able to leverage collaboration networks.Strong follow-through skills.Strong skills with social and interpersonal relationships.Location: Santiago
Mandatory requirement: English written and spoken.
