The primary role of the Guest Services Administrator is to coordinate a smooth operation with service provider and maintain administrative records. This role primarily works behind the scenes in an office setting to update the company databases, guest documentation, service providers, hotel bookings and the organization of logistical tasks for each flight. Antarctic Logistics & Expeditions (ALE) is the most experienced deep-field operator in Antarctica, providing a wide range of guided experiences, air support, logistical back-up and safety cover for governmental research programs, independent expeditions, and tourists. ALE is a Utah company with a year-round office in Salt Lake City, a seasonal operations support office in Punta Arenas, Chile, and several seasonal field camps in Antarctica. Seasonal Information: Guest Services Administrators in Punta Arenas generally work from October to January. Duties and Responsibilities: Handles a variety of administrative tasks related to flights that consist of sending email briefings, requesting documents, confirming guest names and information, printing labels, and boarding passes, updating documents into online platforms, preparing baggage tags for weigh-in events, produce cargo and passenger manifests, etc. Coordinates a variety of guest related administrative tasks that consist of coordinating hotel reservations, country exits, left luggage information, and updating personal information into online databases. Works on a variety of general office tasks such as generating reports, organizing expense sheets, managing petty cash and receipts, coordinating vendor feedback, inventory, and other related tasks. Coordinate with International police, bus services, SAG, DGAC, and PUQ airport operations for all international passenger flights. Support all guest related activities and members of the department to prepare guests for their trip to Antarctica. Other duties as assigned. Required Skills and Abilities: Adaptable to work in both a fast-paced and slow-paced environment Ability to stay positive while working holidays or long varied hours while under pressure Ability to manage multiple projects and priorities simultaneously Ability to work seven days a week, with the ability to get called in last minute Excellent verbal and written communication skills Excellent organization skills and attention to detail Minimum Qualifications: Must have previous administrative experience and strong computer skills. Must be fluent in both verbal and written English. Physical Requirements This position involves light work that primarily involve sitting or standing for long periods of time. This position may exert up to 25 pounds of force occasionally and/or up to 10 pounds of force frequently and/or up to 5 pounds of force constantly to move objects. Incumbents in this role typically require standing or sitting for prolonged periods, communicating with others to exchange information, repeating motions that may include wrists, hands and/or fingers, assessing the accuracy, neatness and thoroughness of the work assigned. COVID Vaccine Requirement To meet ALE's commitment to safe Antarctic travel, we will require you to be vaccinated against Covid-19 (SARS-COV-2). We also strongly recommend that you are vaccinated for influenza.
